Bună ziua. Aș vrea un buchet pentru mama, mâine e ziua ei.

CALLER

Da, de ce nu. Pune și pralinele.

Am adăugat. Includem și un card cu mesaj, e gratuit. Ce să scriem pe el?

Simulated call with a fictional business and data.

The phone in peak season

What happens when everyone calls at once?

A flower shop has peaks nobody can plan: the eve of a holiday, Valentine's Day, Mother's Day, a birthday someone almost forgot. The florist is in the middle of an arrangement and the phone rings. A missed call rarely calls back. The customer simply rings the next shop on the list.

The agent picks up on the first ring, at any hour, and takes the order the way you would: patiently, with one extra question and with real care for the card message. The florist gets the order already written down, not a scribbled note.

How an order flows

How does the agent take a flower order by phone?

Route · 7 steps
  1. It asks about the occasion and the recipient

Birthday, anniversary, a thank-you, condolences. The occasion changes the tone of the conversation and what the agent suggests.

  2. It suggests from your range

It offers two or three options from the catalogue you gave it, each with its price. It never invents arrangements you do not sell.

  3. It agrees size and budget

If the caller has no idea, the agent asks roughly how much they want to spend and suggests options within that budget.

  4. It offers one add-on, once

A box of chocolates or a vase, for example, only if you have set those products up. If the answer is no, it does not bring it up again.

  5. It takes down the card message

Word for word, then reads it back, so the text arrives exactly as the customer said it.

  6. Address, day and delivery time slot

Street, flat, town, plus two time slots in which you deliver. It asks for the recipient's name and a number the courier can call.

  7. Payment and confirmation

It states the total and asks whether the customer pays now, by link, or on delivery. Then it sends the link and the order summary.

Fictional example

What a short call sounds like

The shop in this example is fictional and the names are made up.

Agent: Spring Flowers, good afternoon! How can I help?

Customer: I'd like a bouquet for a colleague who is retiring, on Friday.

Agent: How lovely. I can suggest a mixed bouquet with alstroemeria and lilies for 180 lei, or a smaller one for 120 lei. Which would suit you?

Customer: The 180 one. Can I add a message on the card?

Agent: Of course. Tell me the text and I will note it exactly.

The dialogue in the widget at the top of the page shows a longer call, with delivery and payment. The widget conversation is currently in Romanian.

What the florist receives

An order ready to work on, not a note on the counter

The complete order

Product, add-on and total, in a summary you can read in the portal next to the call recording.

The card message

The exact text, so nobody has to guess it from a rushed note.

The delivery booking

Day, time slot and address, in a format the courier can use straight away.

The payment link

Sent to the customer by SMS if you have online payment set up. Otherwise the order stays as payment on delivery.

The confirmation

The customer receives in writing what they ordered. Each SMS or email sent is billed per message and shows in your estimate; see pricing.

The call summary

If anything unusual comes up, a special request or a complaint, the summary shows it at a glance.

Yes05

  • Writes the card message down exactly
  • Introduces itself as a virtual assistant and says the call is recorded
What it does not do04

  • It does not push an add-on
  • It does not take card details by phone; it sends a link instead

Quick answers

Frequently asked questions

Can the agent take orders at night or at the weekend?

Yes. It answers 24/7, so an order placed on Saturday evening is written down in full and waiting for you on Monday morning. See also 24/7 call answering.

How does the agent know my flowers and prices?

From the knowledge base you give it: catalogue, prices, delivery areas, opening hours. The clearer it is, the better the answers. How it works explains the setup.

Can customers pay by card over the phone?

The agent never asks for card details by voice. It sends a payment link by SMS, if you have an online payment method connected. Otherwise the order is paid on delivery.

What if the customer wants to speak to the florist?

The agent notes the reason and the number, and the summary goes to your team. If you have set up another way to hand the call over, it can use that.

Does it work for event and wedding florists?

For complex requests such as weddings and events, the agent can take the contact details and the brief, while your people prepare the quote. The scenario adapts to what you want to automate.
