How AgentVocal works, from sign-up to the everyday call

You sign up, go through a 9-step guide, make a test call to your own phone, and then the agent works on its own while you see everything in the portal. Every step is here, without jargon.

Three steps. No six-month IT project.

    Tell it what to do.

    Pick the scenario (order confirmation, appointments, missing documents, surveys, reception), give it your documents and website so it knows what to answer, and choose the voice.

  2. step 2 of 3 · Connect it

    Connect it.

    It gets a phone number automatically. Link it to your CRM or ERP, your calendar, WhatsApp, SMS and email. Set the working hours and the contact lists.

  3. step 3 of 3 · Let it work

    Let it work.

    It calls at the hours you set, tries again when nobody answers, picks up incoming calls, sends the follow-up messages and writes the outcome where you work. You see everything in the portal: recording, transcript, summary.

The 9-step guide, explained one by one

Before the guide there are two short stages. Sign-up takes a few minutes, and the form shows you the estimated cost on the spot. Then comes approval: a person does it, within 24 hours at most, to keep the platform clean. At sign-up we also conclude the data processing agreement (DPA, in Romanian). The guide starts once you are approved.

  1. 1. Your company

    You enter your tax ID and the company details come from the official registry. You do not type them by hand and you do not get them wrong.

  2. 2. Industry and scenarios

    You say which field you work in and what the agent has to do, for instance confirm orders, book appointments or ask for documents. You can start from one of the ready-made scenarios.

  3. 3. Modules

    You pick only what you need, for example outbound calls, inbound calls or the messages sent after a call. What you do not tick, you do not pay for.

  4. 4. Price

    You see the cost in plain terms instead of discovering it on the invoice. The full grid is on the pricing page.

  5. 5. Connections

    You link the agent to your CRM, to your ERP through an API, to your calendar, email and WhatsApp. More on this under integrations.

  6. 6. Agent and voice

    You choose the voice and the language, and give it your documents and website so that it answers only from what you know to be correct. See also the languages.

  7. 7. Phone number

    It gets a phone number automatically, with no need to negotiate with a carrier.

  8. 8. Lists and hours

    You upload your contact lists and set the calling windows and the retry cadence.

  9. 9. Test call

    The agent calls your own phone. You listen, correct it if needed, and only then let it call anyone.

What the agent does on a call

A good call has a simple structure, and the agent follows it every time.

It introduces itself. It says who it is (your company's virtual assistant) and that the call is recorded. It states the purpose in the first sentence, so the person knows why we are calling. It leads the conversation: it confirms the address, offers two or three free slots, explains which documents are missing and answers questions from your documents.

At the end it sets the outcome (confirmed, rescheduled, declined, no answer). Then, if you configured it, it sends the after-call message by SMS, WhatsApp or email and writes the outcome into your CRM or ERP. Nobody has to copy by hand what was said.

Calling cadence, no duplicate calls and no nuisance

For outbound calls, you set the rules and the agent follows them.

Automatic retries

If nobody answers, the agent calls back at the times you choose and stops after the number of attempts you set. Calls that nobody answers are not charged.

Calling windows

It does not call early in the morning or on Sunday evening unless you want it to. Outside the window, the call waits.

No duplicate calls

The system tracks every person and every case, so the same person is not called twice about the same thing.

Respecting "do not call"

If someone says "Do not call me again", the request is respected and the person leaves the campaign.

A day in the life of the agent

Its working day does not end at 5 pm.

In the morning it confirms orders, at noon it books appointments, in the evening it answers when reception is closed. The same voice, just as patient on the last call as on the first.

    Someone calls while everyone is asleep. The agent answers, takes down the request, and you find it in the portal in the morning.

    Order confirmations

    It calls cash-on-delivery customers: address, items, amount. The outcome lands in your ERP on its own.

  3. Call + messages

    Documents for claims

    It explains what is missing, then sends the list on WhatsApp and by email. The note stays in your CRM.

    It offers two or three free slots from the calendar, starting tomorrow, and sends the confirmation.

    Whoever missed the morning call is called again, on the cadence you set. Whoever asked not to be called, is not.

How long until it first calls customers?

After sign-up and approval (24 hours at most), the 9-step guide takes you to the test call. In our test the technical setup took about 55 seconds; the rest depends on how fast you prepare your lists and texts.

Do I have to change anything in my CRM or ERP?

No. The agent connects to your system through an API and writes the outcome where your team already works. Details on the integrations page.

Can I stop or change the agent at any time?

Yes. You can adjust its instructions, lists and schedule from the portal, and what you change applies from the next call.

Does it also receive calls, not only make them?

Yes. The assigned number can receive calls 24/7, and the agent answers from your knowledge base and, if you have set up the calendar, can book appointments.
