What an integration with the voice agent really means

An integration works in two directions. Before the call, the agent receives the data it needs: who it is calling, which order or case is being discussed, which slots are free. After the call, the platform writes the outcome into your system: a note, a status, an appointment, an address correction. In between, the conversation happens on the phone, in the person's own language.

The types of integration, in brief

CRM

The agent can read the customer's data and write a note, a status and the call history into the CRM. Zoho is one example; other CRMs can be connected if they have an API.

ERP via API

It reads the orders to be confirmed, then writes the result: confirmed, cancelled, address corrected, plus the call note.

Calendar

It reads the free slots, offers the person on the phone 2-3 options and writes the appointment they choose.

WhatsApp

An automatic message after the call, from your own WhatsApp Business account. The subscription with the messaging provider stays yours.

SMS and email

Confirmations and reminders by SMS; email sent from your address, through your own email server.

Knowledge base

Your documents and website, which the agent answers questions from, without inventing your company's policy.

Examples of data exchanged, no mystery

To make it clear what flows, here are typical fields in two generic scenarios (fictional data).

Cash-on-delivery order confirmation. From the ERP in: order number, customer name, phone, delivery address, products and the amount to collect. After the call out: the result (confirmed, refused, to be rescheduled), any corrected address and a note of what the customer said.

Document recovery. From the CRM in: case number, the contact, the list of missing documents. After the call out: the call note, the new status and, if you have enabled it, a WhatsApp message with what still needs to be sent.

The exact fields are chosen during setup, depending on what your system offers.

How an integration is done, step by step

  1. You tell us which systems you use

    In the registration form and the setup wizard, you list the CRM, ERP and calendar you want to connect.

  2. We check whether they have an API

    We ask for the API documentation or a test account. If the system has no API or does not allow writing, we tell you from the start what is possible and what is not.

  3. We receive limited access

    You create a key or a user with strictly the permissions needed (read, and write only where necessary). The connection credentials are stored encrypted.

  4. We choose the fields

    We agree what the agent reads, what it writes after the call and which field each piece of information goes into.

  5. We test with trial calls

    We run test calls and check in your system that notes, statuses or appointments appear correctly, before launch.

  6. We launch and watch

    The results appear in the portal and in your system. If your system changes, we adjust together.

Who does what

You choose the systems, create the access and confirm the fields. We set up the connection, run the tests and watch the first calls. Together we decide what the agent writes into the system and who is allowed to change it. Access to your data is described in Security: connections are encrypted, and the credentials for your systems are stored encrypted.

Frequently asked questions

Does the agent connect to my CRM?

Yes, if the CRM has an API. The agent can read the contact's data and write a note, a status and the call history. Zoho is an example, not a limit. For a CRM we do not know, we check the API together.

Can I connect my ERP for order confirmation?

Yes, through an API. The agent reads the orders to be confirmed and writes the outcome after the call. Your ERP must allow reading and writing through an API, and you create the access with the permissions needed.

How long does an integration take?

We do not promise a fixed time, because it depends on your system: the API documentation, test access and the fields chosen. Setting up an agent in the platform is quick, but connecting an external system is confirmed once we have seen the API.

What if my system has no API?

Tell us what you use. The agent can work without a direct integration: results appear in the portal, and the after-call messages (SMS, WhatsApp, email) are sent independently of your system.

What does the agent answer questions from?

From the knowledge base you upload: your documents and company website. For anything that is not there, the agent should not make things up, and you adjust the content based on real calls.
