An AI virtual receptionist is an AI voice agent that answers your business phone in place of a secretary or receptionist: it understands what the caller wants, answers from your company’s information, books appointments from the calendar, takes messages and sends a summary to the right colleague. It works round the clock and can handle several calls at once. What does “virtual receptionist” mean in 2026?

  • Information questions: opening hours, address, access, parking, documents to bring, the rates you put in your documents. It answers briefly, from the knowledge base.

  • Messages for a specific person: it notes who called, why and the number they can be reached on, then sends the summary to the right person.

What do you need to give it so it answers well?

An AI virtual receptionist is only as good as the information it receives. Before you switch it on, prepare:

  1. The list of frequent questions, with short answers written to be spoken aloud.
  2. The calendar and its rules: the length of each type of appointment, breaks, who does what.
  3. What it may and may not say: rates, promises, deadlines.
  4. Where each type of message goes: reception, doctor, accounts, team lead.
  5. The hours in which the agent answers calls, if you do not want it round the clock.

Do not switch it on for every call straight away. The safe steps:

An AI virtual receptionist works with names, phone numbers and sometimes sensitive reasons for calling.
